This role provides a wide variety of advanced administrative support to one or more department leaders. It will assist in the adherence to departmental budgets, prepare documents for personnel changes and produce various operating reports for the department served. This role serves as the administrative liaison for all internal and external inquiries related to the assigned department.
Performs general clerical duties to include but not limited to photocopying, faxing, mail distribution and filing
Coordinates and maintains records for staff office space, phones, company credit cards and office keys
Creates and modifies various documents using Microsoft Office
Maintains Outlook calendar(s) in current and accurate status
Coordinates meetings and conference calls as needed or anticipated
Coordinates high level travel arrangements
Answer phones promptly and uses good judgment to prioritize the distribution of messages in a timely manner
Prepares meeting materials and assists with the development of PowerPoint presentations
Responsible for keeping inventory of all office supplies and placing orders for replenishment as needed
Records minutes at various meetings and archives them accordingly
Ability to work independently and act as a resource for others
May coordinate activities for others
Ability to act as technical resource for others as needed / Tech savvy
Work with a team to solve complex problems
Assist with administrative onboarding tasks for new employees
Required Qualifications:High school diploma or GED equivalent 2 – 3 years of administrative support experience Intermediate proficiency with Microsoft Office applications to include Word, Excel, PowerPoint and Outlook Strong attention to detail and excellent organizational skills are required Ability to multi-task in a fast - paced and deadline driven environment Ability to maintain professionalism and a positive service attitude at all times Preferred Qualifications:
- Some college coursework or business vocational school education
