Massachusetts MENTOR

We are looking for an Office Coordinator with a strong sense of purpose and passion to be part of our Behavioral Health, community based program. The Office Coordinator will support a clinical team who serves youth and families in their homes. He or she will coordinate many tasks including data collection, analysis, consulting and reporting. This includes acting as a liaison between payers and our team of clinicians. They will also assist in ensuring adherence to Medicaid regulations and managed care authorizations.
Description

Essential Job Functions:
  • Identifies patterns of under-utilization and over-utilization of clinical services and reports information in a timely fashion to the Program Director
  • Runs weekly reports in medical records system, conducts insurance eligibility checks, collects and analyzes staff billable hours, and manages follow-up on authorized dates and remaining units
  • Responsible for daily coordination and tracking systems of incoming clinical progress notes and documentation
  • Actively engages in on-going communication with Accounts Receivable accountants to facilitate timely resolution of outstanding issues and items pending payment for services provided to clients
  • Establishes and monitors the office filing systems to assure information is organized, complete, and retrievable for audit file reviews
  • Coordinates the administrative functions for the department such as billing, accounting, and payroll support
  • Coordinates operational matters as building maintenance/repair, office equipment and purchasing
  • May assist with Human Resource related tasks and other administrative tasks


Qualifications:
  • Associate’s degree in related field or equivalent in knowledge and experience
  • Five years of administrative support experience along with one year of experience working with Medicaid funded programs or in a healthcare and medical billing environment
