Description

The Referral Coordinator 2 performs varied activities and moderately complex administrative/operational/customer support assignments. Performs computations. Typically works on semi-routine assignments.

Responsibilities

The Referral Coordinator 2 (On-Call Coordinator) is responsible for carrying out the ongoing paraprofessional scheduling, first line call response, schedule verification, and other general office functions "On-Call" when office is closed. Works within defined parameters to identify work expectations and quality standards, but has some latitude over prioritization/timing, and works under minimal direction. Follows standard policies/practices that allow for some opportunity for interpretation/deviation and/or independent discretion.

Scheduling:
  • Ensures that requests for homecare service are filled promptly, and scheduled into computer in a timely manner.
  • Ensures that homecare schedules are complete and accurate in computer, and update as changes occur.
  • Reviews Santrax records daily to ensure that all staff are at clients as scheduled.  Follows up immediately on any discrepancies.
  • Monitors "No Show Alerts" and follows up to adjudicate in a timely manner.
  • Reviews all scheduled homecare daily in preparation for payroll review, and billing approvals by manager.
  • Reports any client or staff issues to supervisor promptly.

General Functions:

  • Timely answering of phones after hours as forwarded by Answering service and triaging calls to appropriate professionals in the branch or region.
  • Participates in regular "On-Call" handoff meetings.
  • Maintains on-call logs and submits daily to supervisor.
  • Performs any other functions as requested by supervisor.

               

Required Qualifications

  • High School Diploma or equivalent
  • Strong computer skills including Word and Excel
  • Comfortable with heavy telephone management
  • Access to working computer with web access during "on call" times
  • Strong customer service skills
  • Strong organizational skills
  • Excellent professional communication abilities, at all levels within the organization and with patients, at all times

Preferred Qualifications

  • Bachelor's Degree in Healthcare or Business Administration
  • Previous scheduling experience
  • Bilingual in English and Spanish
