Position Summary

Assist the specialty pharmacy's operations by performing primary phone intake duties, set up patient profiles for new referrals, and distribute faxes to the appropriate team members. By answering the majority of incoming calls, the intake coordinator is the initial point of contact for many callers and the level of professionalism and courteousness they display sets the tone for the patient or provider experience. Accurate attention to detail is called for when processing faxes and creating new patient profiles.

Job Responsibilities

  • Answer all incoming calls in a professional and friendly manner, direct the incoming call to the appropriate team member by researching patient notes. Take detailed messages as needed and relay the messages to the appropriate person.
  • Process, save, and distribute incoming faxes from the fax server with attention to detail, ensuring faxes are saved to the correct profile and titled appropriately.
  • Accurately create new patient profiles in the pharmacy system and physical patient charts as necessary and distribute to the appropriate team members or teams.
  • Perform patient touch-base calls as required by insurance contracts and record interaction summaries in the speicalty pharmacy clinical platform.
  • Work on miscellaneous assigned projects as needed such as document scanning, entry of information into Microsoft Excel, or oganizational tasks.
  • Obtain and maintain Ohio Board of Pharmacy Technician Registration in order to make changes/initiate prescription records of new patients.
  • Answer telephone in a polite and timely manner and ensure accurate information is exchanged and customer is satisfied
  • Assist in the execution of all Specialty initiatives and programs
  • Maintain a neat and clean work environment to ensure Company and government requirements are met
  • Assist team members with tasks to ensure department runs efficiently
  • Adhere to all company, state and federal policies, laws and regulations

Education and Training Required

  • High school diploma or equivalent

Experience Required

  • 1 to 3 years
