Coordinator, Meetings & Events

PURPOSE OF THE POSITION:

The Coordinator, Meetings & Events will support the Meeting Planner and Manager of Events with company Franchisee & Operations conferences, Executive and Global Support Center meetings as well as various employee based events and projects.

 

KEY RESPONSIBILITIES:

  • Support project calendar & timelines internally with meeting and production partners
  • Research event specifics and request vendor quotes for events
  • Coordinate event giveaway items and swag for events
  • Onsite event set-up and event logistics
  • Coordinate review of hotel and event space BEOs
  • Process estimates and invoices within budget applications
  • Support merchandising team with reporting and communication deliverables
  • Assist and coordinate the implementation of 30+ meetings and events
  • Participate in site inspections, venue selections, and onsite management
  • Create, setup and maintain events and registration in event management system
  • Management of pre/post event surveys in Survey Monkey
  • Generate production handbooks, room grids, staff lists, hotel pick-up reports, staff travel and lodging
  • Coordinate content for event materials, including promotional and signage materials

 

EDUCATION QUALIFICATIONS:

  • Bachelor's Degree in related field (Marketing, Hospitality, Communications)

EXPERIENCE QUALIFICATION:

  • 3-5 years in-house event management or professional conference experience

REQUIRED KNOWLEDGE, SKILLS or ABILITIES:

  • Demonstrate project planning and organizational skills
  • Enthusiasm and ability to learn quickly
  • Attention to detail
  • Self-starter, ability to work independently and solve problems
  • Flexibility and ability to adapt quickly to meet changing circumstances
  • Experience dealing with high-profile, C-suite executives
  • Exemplary verbal, written communication skills
    • Must be able to work a flexible schedule including days, nights and weekends to support on demand meetings/events
    • Proficient in Microsoft Office Suite
