Looking for an experienced and professional Executive Assistant to support operations and leadership for a healthcare organization.

This role will also serve as an Office Manager while handling various responsibilities including licensing and contracts and providing daily information and management support to our programs, managing heavy office management and event planning. This is a very fast paced environment with a company that is very focused and committed to the quality provided to its patients and employees.



Description
CareMeridian is seeking an Executive Assistant to provide administrative support to our VP of Operations, including answering telephones, handling correspondence and scheduling meetings, as well as project based work.  This position may also greet visitors and route telephone calls to appropriate staff and/or provide data entry support and serve as the point person for the office.

ESSENTIAL JOB DUTIES AND RESPONSIBILITIES

  • Supports VP of Operations to ensure that all administrative aspects of the Executive Office runs smoothly, accurately, and includes communication with state, local, federal regulatory agencies like CDPH and licensing boards.
  • Organizes and updates corporate calendar and executive calendars to ensure accuracy, including organizing and preparing travel arrangements for executive and leadership personnel.
  • Schedules meetings, appointments and conference calls on a daily basis. Attention to detail is imperative.
  • Prepares accurate minutes for committees and staff meetings
  • Oversees the administrative personnel for the reception area and manages tasks and deadlines.
  • Organize and prioritize large volumes of information, ensuring the information is analyzed and presented in the most usable manner possible to meet the needs of the organization.
  • Creates and develops visual presentations for the VP of Operations and others on the senior team
  • Assists in the timely processing and receipt of patient evaluations to ensure all information is correct and presented appropriately for various departments.
  • Handles non-routine and sometimes very sensitive information, ensuring complete confidentiality at all times.
  • Works independently and within a team on special and nonrecurring and ongoing projects. Acts as a project manager for special projects as assigned, which may include: planning and coordinating multiple presentations, and organizing company-wide events to ensure these projects are accomplished in a positive and cost-effective manner.
  • Oversees and organizes contact data and processes large mailings to ensure timely dissemination of information to the field in a cost-effective manner.
  • Manages contracts for vendors and various Independent Contractors and Medical Directors.

Qualifications:

Specific job duties include transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics to both leadership and executive teams.

Requirements:
  • High School Diploma or equivalent
  • Five years of related experience
