Home Health Agency Administrative Assistant - San Antonio - Network Blvd

The Home Health Administrative Assistant is responsible for preparing physicians orders / 485’s / F2F for physician offices. Assists with checking the signed documents back in once returned from physician office. Responsible for field staff payroll checking in all documentation, calculating payroll and submitting in timely manner to accounting department. Reviewing admit paperwork for accuracy. Scans all documentation into EMR into patient’s records on a daily basis. Reviews and clears out print que daily, faxes missed visit notes, communications notes, prepares therapy evaluations to fax, and other clinical documentation when needed. Responsible for reviewing contract therapy invoices weekly.
 
Primary Responsibilities:
  • Reviews and processes paperwork turned in by field staff for accuracy
  • Prepares all physician orders and plan of treatments for liaison to take to physician’s office for signature
  • Runs outstanding list of physicians orders / pot’s for manager weekly
  • Assist with follow up on orders / pot’s not returned within 30 days
  • Reviews and clears out print que daily
  • Scans notes into clinical records (EMR) on a daily basis
  • Faxes all communication notes, missed visits, case conferences to physicians daily
  • Contacts field staff for corrections on paperwork turned in when needed.  Maintains all physician orders, referral information, service notes from all disciplines, lab reports, and other clinical documentation in an organized manner
  • Calculates visits / mileage for all field staff every two weeks-submits final report to accounting department in timely manner
  • Reviews therapy contract invoices to ensure accuracy for payment
  • Assist with phone calls in office.  Communicates messages for CTM regarding physician orders and patients’ concerns
  • Performs additional duties as assigned by manager
  • Communicates with CTM’s in reference to concerns field staff and outstanding paperwork
  • Attends all required in-service programs to maintain comprehensive home care knowledge base
  • Demonstrates effective time management skills by completing assignments within projected time frames
  • Expresses verbal and written communication in a clear, positive, and cooperative manner
  • Demonstrates personal responsibility with regard to attendance and punctuality
  • Promotes Agency philosophy, mission statement, and administrative policies
  • Maintains privacy and confidentiality with regard to all patient, staff and Agency information
  • Promotes the Agency image by adhering to the Dress Code-good personal hygiene
  • Follows the appropriate chain of command in all forms of communication
  • Demonstrates flexibility, enthusiasm, and willingness to cooperate while working with others or in place of others as necessary

Required Qualifications:
  • High school graduate or GED
  • Experience in an administrative role for 1+ years
  • Ability to read and follow written and verbal instructions in English effectively
  • Possesses ability to operate computer terminal, printer, fax and copier machines
  • Intermediate level of proficiency with typing and Microsoft Office Suite
Preferred Qualifications:
  • Medical Terminology knowledge
  • Home Health experience
  • Knowledge of general office procedures
