Primary Responsibilities:
  • Perform secretarial duties related to screening calls and facilitating communication for Clinical Services between clinical staff and departments and long-term care providers.
  • Keep daily schedule for all team members.
  • Enter patient care information into database and provide back-up documentation to the Billing department, as requested.
  • Prepare agenda and schedule meeting rooms for meetings as requested.
  • Complete all job duties in a manner that meets the accepted standards of practice and the Optum policies and procedures.
  • Contribute to achieving the company's mission.
  • Work collaboratively with others to achieve goals.
  • Participate in the quality assessment and performance improvement program.
  • Engage in an ongoing, self-development plan to build personal leadership skills, organizational knowledge, and enhance knowledge of the industry.
  • Identify and address skill and/or knowledge gaps to fulfill job responsibilities.
  • Moderate work experience within own function.
  • Some work is completed without established procedures.
  • Basic tasks are completed without review by others.
  • Supervision/guidance is required for higher level tasks.
  • Coordinates various medical record functions: acquisition and distribution, chart analysis, skilled level of care and hospice coding, correspondence processing, quality audits, etc.
  • Facilitates the even work-flow throughout functional areas.
  • Audits various patient logs and reports to ensure accuracy.
  • Follows up on inconsistencies, as required.
  • Collaborates with appropriate clinical departments to resolve various record deficiencies according to regulatory guidelines.
  • Coordinates the processing of correspondence requests for patient information from various internal and external parties, ensuring requests are responded to in efficient manner and
  • Ensures all processes are entered into department computer system for tracking and recordkeeping purposes.
  • Participates in staff educational activities to optimize department performance.
  • Coordinates various department projects (compliance audits, etc.), as required.
  • Gathers and generates reports on various department metrics for review by management.
  • Recommends processes and procedures to improve departmental performance.
  • Assists in maintaining department supply inventory.

Required Qualifications:
  • High School Diploma / GED
  • 6+ months of work experience using Microsoft Excel (filtering, sorting, editing and saving spreadsheets), Microsoft Word (creating, editing and saving documents) and Microsoft Outlook (emails, folders and calendaring)
  • 6 + months of Customer Service experience analyzing and solving customer's problems in a professional environment
  • 6 + months of experience working with Medical Records
  • 2+ years of related work experience in medical record handling, required
  • Knowledge of basic health information management
  • United States Citizenship
  • Ability to obtain favorable adjudication following submission of Department of Defense form SF86 NAC form SF86.

Preferred Qualifications:

  • Familiarity with Medical Terminology
  • Experience in a Medical Facility / Health care delivery environment
  • Experience working with Healthcare Insurance

As a requirement of UnitedHealth Group’s contract with the Department of Defense, this position requires U.S. citizenship and proof of favorable adjudication following submission of Department of Defense form SF86, (the National Agency Check or “NAC”).  Successful completion of the NAC process is a requirement for continued employment in this role.  NAC processing will be initiated by our TRICARE Security Officer post-offer and can take 3-6 months for a final decision communication from the Department of Defense. Candidates will be allowed to begin employment with UnitedHealth Group in this role based on an interim clearance, and final results will be communicated as they are received.  Failure to obtain final NAC approval will result in termination from this role.
