Position Summary

Assist in all aspects of Pharmacy Procurement including, but not limited to: item and/or vendor set up and maintenance, warehouse inventory management, manufacturer invoicing/collections and dispute resolution.

Job Responsibilities

  • Manage manufacturer invoice process (Shelf Stock Adjustments, Failure to Supply, Rebates, Fee for Service, Recalls, etc) beginning with invoice generation. Analyze credits received to ensure proper compensation. Monitor aged invoices, pushing for collection within contractual terms. Escalate any issues as needed to Sourcing Specialist or Managers.
  • Responsible for all Giant Eagle Rx warehouse item setup and maintenance within internal systems (Biceps & HQ), as well as in external DSCSA (Drug Supply Chain Security Act) system; Tracelink.
  • Assist Supply Chain Analyst with warehouse inventory management, taking ownership of select categories and/or suppliers as needed. Manage all daily activities associated with forecasting and replenishing warehouse inventories for these items, including: creating purchase orders, ensuring timely delivery of orders, reacting to late or unfulfilled orders, interacting with vendor customer service departments and collaborating with warehouse personnel.
  • Review all invoice issues (manufacturer/warehouse/wholesale) as first point of contact within Merchandising team. Research with internal accounting and warehouse teams, along with external customer service and accounting contacts to come to resolution, escalating as needed.
  • Manage new vendor set up process within Giant Eagle purchasing and accounting systems, as well as Tracelink. Ensure that proper documentation is received from supplier in order to maintain VAWD compliance prior to transmitting purchase orders.
  • Assist Sourcing Specialists and Managers with product management, providing support for daily business needs as necessary including but not limited to: product research, product issue troubleshooting, and paperwork or forms related to product processing. Responsible for communication with third party vendor customer service representatives to resolve product related issues that arise on a daily basis.
  • Maintain VAWD (Verified Accredited Wholesale Distributor) supplier tracking, validating licensure and documentation upon receipt. Review monthly to ensure that all licenses are up to date, validating that any upcoming expirations have been renewed on appropriate websites. Research any discrepancies with suppliers, halting any orders until resolved.
  • Monitor Pharmacy Merchandising inbox, responding or forwarding e-mails as needed.
  • Manage the preferred item formulary within the CSOS application. Act as corporate emergency CII order signer within CSOS, signing orders only when Central Fill Inventory Techs are unable to process.
  • Understand the retail inventory management process, able to assist the Sourcing Specialist manage needs through the inventory management application (Supplylogix) and drug linking web services.

Education and Training Required

  • High school diploma or equivalent

  • 0 to 6 months

Experience Desired

  • Prior experience in one or more of the following areas: Supply Chain, Procurement, Analytics, Pharmacy Administration, Specialty Pharmacy Operations, Pharmacy Managed Care, Pharmacy Vendor Relations.
