Position Summary

Provide secretarial/administrative support to the Regional Vice President and Regional Business Leaders which allows their use of time and efforts to be more effective and efficient.

Job Responsibilities

  • Screen, direct, and respond to incoming telephone calls and initiate outgoing telephone calls in a professional and timely manner to ensure customer is satisfied and accurate information is relayed.
  • Coordinate and schedule meetings and appointments according to established procedures.
  • Act as a liaison between RVP, RBL's and team members to facilitate communication.
  • Efficient and effective management of office and correspondence.
  • Coordinate, research, format, report and analyze information (of a highly confidential nature) at the direction of the RVP and RBL's, including the POD Safety Report & Monday Reports
  • Prepare various reports, coordinate special projects, and provide follow-up information to ensure requirements are met; assist in special projects as assigned.
  • Respond to Customer comments/complaints on behalf of the RVP and RBL's
  • Establish and maintain administrative filing systems to ensure information is readily available.
  • Compose and prepare correspondence as directed according to standard procedures.
  • Schedule Regional meetings, prepare and distribute meeting minutes.
  • Schedule meetings and payroll reporting.
  • Filing, record keeping, participate as needed on various company committees.
  • Prepare Store Leader schedules including weekly and vacation schedules to ensure proper coverage for region.
  • Prepare and coordinate Specialist itineraries and vacation schedules; coordinate, order and process various authorized purchases (internal and external).

Education and Training Required

  • High school diploma or equivalent

Experience Required

  • 1 to 3 years
  • 2 years secretarial/administrative support experience; advanced professional knowledge of Microsoft Word, Excel, Oulook and Power Point.
