Senior Project Coordinator - Minnetonka, MN

The Senior Project Coordinator is responsible for assisting with ER Case Management tasks, which could include low complexity case coordination of accommodation and leave of absence/disability cases; partnering with the HelpDesk on interface processes, and managing special projects in support to the Employee Relations Case Management and Total Absence Management teams. The position requires coordination with both internal and external customers, vendors, employees and managers to support ER Case Management processes and projects as well as Total Absence Management program goals and initiatives. ER Case Management function includes tiered teams of Employee Relations Analysts and Sr. Employee Relations Analysts) and well as Employee Relations Case Managers and ER Consultants to optimize work flow based on the nature and complexity of cases and the level of employees from which a case originates. The TAM Program comprises Leave Management, Short and Long Term Disability, Workers Compensation and Accommodation coordination for greater than 150,000 US employees.
 
Primary Responsibilities:
  • Manages low complexity cases ER cases, including, but not necessarily related to restructured breaks, FMLA OT, LOA and Disability, payroll and employee complaints
  • Coordinates TAM case follow- up with Health& Safety, Talent Acquisition, ER, Sedgwick and The Standard
  • Collaborates and coordinates training requests through vendors and maintains summary documentation of the results
  • Manages and coordinates processing of the PTO Donation Program and potentially other ER Case Management processes
  • Performs audits of vendors reports (off cycle checks and PA review requests)
  • Serves as a liaison with Help Desk/Tier 1 for effective collaboration with TAM and/or ER Case Management and coordinates messaging and content for the certain TAM/ER Case Management HRHD solutions
  • Prepares 2nd level appeal materials for appeals committee and vendor for the TAM function
  • Manages the TAM mailbox, faxes, SharePoint Site related to internal TAM processes, and escalated internal or external stakeholders issues
  • Coordinates tracking and reports for TAM
  • Supports all members of the TAM Team; to include case creation and assignment, medical documentation coordination, Transitional Work Agreements (TWAs), accommodation outcomes, payroll issues, TAM email correspondence, outgoing leave and HR communication to employees, and HRIS reporting
  • Supports all members of the ER Case Management team; to potentially include assistance with special projects, case handling guidelines, share drive optimization, coordination of team meetings/training programs, and other initiatives.
  • Assists in the development of ER Case Management and TAM processes and procedures with the ER Case Management and TAM teams and posts updates to TAM’s Standard Operating Procedures (SOPs) and/or ER Case Management Guidelines and SOPs
  • Participates in and supports ER Case Management and TAM initiatives and special projects
  • Performs other duties as required

Required Qualifications:
  • BS or BA degree
  • 2 + years of experience in human resources administration
  • Excellent computer skills including databases and spreadsheets
 
Preferred Qualifications:
  • 2 + years’ experience in leave, disability and/or workers compensation, accommodations or vocational  program administration
  • Basic knowledge of/exposure to State and Federal employment law, EEO, ADA, FMLA, FLSA.
  • PeopleSoft experience
