As a Sr. Administrative Assistant within the Optum Operations Human Capital team, you will support up to 5 leaders in a global healthcare organization. You will work independently in a manner consistent with the highest levels of performance and professionalism to accomplish critical tasks. As a key resource within Optum, your positive approach and dedication to teamwork will enable you to provide outstanding assistance. This position provides a great opportunity for someone with a background in executive support and is interested in learning more about Human Capital and a potential future career path in the Human Capital function.

Primary Responsibilities

  • Manage the calendars and any changes in schedules, use knowledge of current business priorities and key contacts to prioritize scheduling and timing of meetings
  • Prepare leaders for daily schedules and meetings, manage to do’s for leaders and ensure appropriate follow-up for requests
  • Answer incoming calls and facilitate handling of requests for information
  • Evaluate calls in terms of importance and use independent judgment to take action such as interrupting work or notifying others
  • Independently perform varied administrative duties related to functional areas
  • Create streamlined travel arrangements, including travel packs and other traveler-specific needs for both global and domestic trips
  • Track and submit expense reports on behalf of leader
  • Schedule interviews and prepare for a consistent onsite candidate experience
  • Greet visiting clients, guests and employees
  • Create and/or maintain SharePoint sites to facilitate team access to office documents 
  • Create / prepare meeting materials, i.e., PowerPoint presentations, spreadsheets and meeting agendas, and ensure distribution to appropriate individuals in a timely manner
  • Compile and/or integrate information needed to complete reports and documents
  • Schedule meetings for small and mid-sized groups including arranging meals for attendees and planning business dinners
  • Review documents to ensure accuracy and quality, and revise as needed
  • Ensure meeting participants have appropriate access to facilities and systems
  • Schedule and set-up resources and technology needed for meetings and events, i.e., conference rooms, catering, WebEx, and Telepresence
  • Interact with individuals at all levels of the organization
  • Professionally represent the leader across the organization
  • Work effectively as an integral member of a team
  • Handle confidential information with complete discretion
  • Maintains a high attention to detail with an eye towards quality
  • Learns to think ahead and determine leaders needs and takes action proactively to meet the needs
  • Manage office documents in accordance with enterprise records management procedures
  • Perform Business Segment Liaison (BSL) duties to onboard new HC team members and for ongoing needs of the HC team

Required Qualifications

  • HS Diploma or GED
  • Intermediate or greater proficiency in MS Outlook, Word, Excel and PowerPoint
  • 2+ years of experience working in a large, fast-paced, corporate environment

Preferred Qualifications

  • BA/BS degree in Human Resources or related field
