Primary Responsibilities:
  • Support COO, CMO and key leadership team members with meeting scheduling, travel arrangements (conference rooms, office space, hotels, meals, etc.) and expense management
  • Work collaboratively with other EAs and internal/external colleagues for all meeting requests as requested from COO and Medical Director
  • Check calendar for conflicts within the upcoming weeks and assist with proactive rescheduling and color coding for prioritization
  • Check/Add conference room and WebEx/conference lines for meetings
  • Meet frequently with CMO and COO for proactive meeting support and reminders for critical meetings, including reminder texts and warnings before critical meetings
  • Create/prepare meeting materials (e.g., PowerPoint deck; agendas) and ensure distribution to appropriate individuals in a timely manner
  • Host, coordinate, and/or facilitate meetings/external events as needed (e.g., introduce speakers; manage PowerPoint deck; ensure time schedules are adhered to; assist with technology; take notes)
  • Coordinate organized staff, leadership and all-team events, including Town Hall Meetings, All Staff Meetings, etc.
  • Ensure meeting participants (e.g., external customers; executives) have appropriate access to facilities and systems (e.g., issue security badges; request building access; internet access)
  • Provide coverage (e.g., phone; email; reception) for leadership team members as needed (PTO)
  • Provide organized resources (itineraries, meeting materials, etc.) for upcoming leader travel
  • Maintain and distribute lists as needed (e.g., organizational charts; email; distribution; vendor; contacts; phone)
  • Record/label/file records and documents according to enterprise records management procedures
  • Manage small leadership team projects and moderately complex activities
  • Create and/or maintain administrative desk manual to ensure continuity of office operations
  • Greet and direct internal and/or external partners (e.g., contractors; auditors; vendors) to appropriate locations and/or staff
  • Other administrative duties as defined

Required Qualifications:
  • High School Diploma/GED
  • Experience supporting senior leaders in an administrative capacity in a fast paced environment
  • Experience using Microsoft Office Word to create and edit professional documents from scratch
  • Experience using Microsoft Office PowerPoint to create and edit professional presentations
  • Experience using Microsoft Office Outlook for complex calendar management, scheduling meetings
  • Experience using Microsoft Office Excel to filter, sort, manipulate, and organize data
  • Ability to work in the Eden Prairie, MN office
  • Experience successfully managing multiple priorities
Preferred Qualifications:
  • Higher level of PowerPoint skills to create decks/professional presentations used in leader/executive meetings
  • Project Management skills
  • Experience in healthcare services or delivery
  • Experience with patient clinical documentation systems
  • Bilingual or multilingual fluency, including the ability to read, write & speak
